What is Servicing Transfer Reconciliation?

Checking, after a servicing transfer, that every loan boarded into the new servicer’s system matches what the prior servicer actually had — balances, terms, escrow, payments, contact details and in-flight workouts. Servicing Transfer Reconciliation does it for every loan and 186 fields each, against the data tape, the signed documents and the prior servicer’s servicing notes.

The problem

Why transfer gaps are found when the borrower calls

When servicing is sold, thousands of loans arrive overnight as a data tape and a pile of image bundles. Somewhere in the mapping a trial plan boards as an ordinary loan, an escrow disbursement is never scheduled, an autopay enrolment is dropped, an ARM change date is read from the wrong column. From the transfer date the new servicer owns all of it: hello letters within 15 days, no late fee on a payment the old servicer received on time for 60 days, every complete loss mitigation application pending at transfer evaluated within 30 days.

Most boarding checks compare the tape with the boarded record and look at a sample of loans. When the tape itself is wrong, both agree and the loan passes. Workouts that the old servicer kept in its servicing notes never reached the tape — so the borrower who is paying exactly as agreed gets billed in full, then a late fee, a delinquency notice and a credit report. That is a complaint, a remediation and an exam finding.

One tranche, from tape to certification

Copperline Loan Servicing bought the servicing of 4,812 loans from Ashgrove Home Loans — Tranche 3, transfer date Thu 1 Oct. It is day 11. Here is what happens next, screen by screen, in the working solution.

  1. 01Day 11

Every transfer coming in, on its clocks

Renée Okafor · Servicing transfer manager

Renée runs every servicing transfer coming in — bulk purchases, flow and new subservicing clients. Ashgrove Tranche 3 is 4,812 loans and $1,183,406,200.00 of unpaid balance, with hello letters due 16 Oct. Tallowmere Credit Union, a new subservicing client, has 3 mapping questions; Ashgrove Tranche 2 was certified on 14 Aug with 312 differences found and none open.

“Clocks follow the transfer date: letters 15 days · pending applications 30 days · payments 60 days”

  2. 02Before the match

Everything Ashgrove sent, in one place

Renée Okafor · Servicing transfer manager

The data tape (4,812 rows × 412 columns), 311,640 pages in 4,812 loan bundles, 1,926,410 servicing notes entries over 24 months, 24 months of payment history, Ashgrove’s loss mitigation spreadsheet of 63 loans, and the 4,812 records boarded into Copperline’s system on 1 Oct. The Arreola loan, row 1,207, waits at the seam: 186 fields to match.

“Most checks compare the tape with the boarded record. The matcher also reads the signed documents and Ashgrove’s notes, where workouts live that never reached the tape.”

  3. 03One click

Tape against file, loan by loan — and a line breaks

    The agents

Renée presses Match the tranche. Field by field, each value on the tape meets its proof in the loan file; matched fields close up. On Luis and Carmen Arreola the Plan in force line stays open: the tape is blank, but Ashgrove’s note of 14 Aug reads “Flex TPP approved — 3 pmts of $1,412.36 due 9/1, 10/1, 11/1.” The October bill is $2,086.91 — billed in full while the plan says $1,412.36.

“Trial modification in progress per prior notes — not on tape”

  4. 04Tranche done

371 loans with a difference, by harm to the borrower

Renée Okafor · Servicing transfer manager

4,441 loans (92.3%) are clean on day one. The other 371 sit on a matrix of what differs against how soon the borrower would feel it: 13 high in in-flight workouts, 14 in payments and autopay, 6 in escrow, 5 in balances and terms. The run is shown agent by agent — 311,640 pages split into 61,904 documents, 7 loan numbers re-keyed, 895,032 comparisons.

Three causes explain 25 of the 38 high: Flex plans that lived only in Ashgrove’s notes, an autopay file that came after the cut-off, and an ARM change date read from the wrong column.

  5. 05Next

The queue, ranked by harm, then by date

    Harm ranker and correction drafter

High first, soonest first. Three late fees already charged on payments sent to Ashgrove inside the 60-day window sit at the top, owned by cash management. Then the Arreolas and the other Flex trial plans billed in full, felt by the borrower from 16 Oct. Every row has an owner and a drafted correction.

  6. 06Opened

Three sources side by side, and what happens if nothing is done

Renée Okafor · Servicing transfer manager

Ashgrove’s tape, the loan file with Ashgrove’s notes, and the boarded record — 4 of 186 fields differ, all in the trial plan and what is billed. The signed trial plan notice is page 41 of the file. If nothing is done: a $69.31 late fee on 16 Oct, a delinquency notice on 17 Oct, a referral toward foreclosure on 29 Oct and a report 90 days late on 31 Oct.

“the tape and the boarded record agree — the signed notice and Ashgrove’s notes do not. A tape-to-system check passes this loan.”

  7. 07Approved

One approval boards all nine plans

Renée Okafor · Servicing transfer manager

The correction is drafted: board the Flex trial plan from the agreement, apply the $1,412.36 in suspense to the October trial payment, cancel the late fee and the notice, hold the foreclosure referral, route to Tomás Quintero for the permanent modification after 1 Nov, and a letter telling the Arreolas their plan continues with Copperline. The same pattern is on 8 more loans; Renée approves all 9 at once. 9 late fees and 9 delinquency notices are cancelled and $8,154.39 is applied from suspense on 6 loans.

Nothing is posted to the servicing system until a person approves it.

  8. 08Same day

Every inherited workout, matched to its agreement

Tomás Quintero · Loss mitigation lead

67 loans were in flight at transfer: 63 on Ashgrove’s list and 4 more found by their trial-sized payments. Those 4 show a trial plan in Ashgrove’s notes but no signed agreement in the file, so the agreements are asked of Ashgrove before anyone asks a borrower. 14 complete applications were pending on the transfer date — 5 evaluated, the rest due by Sat 31 Oct.

“12 CFR 1024.38(b)(4)(ii) · ask the prior servicer for a missing agreement before asking the borrower”

  9. 09Inside the 60-day window

    Forwarded payments, fees and autopay

    Keisha Morrow · Cash management

Ashgrove forwarded 1,286 payments; 1,259 are applied and 27 sit in suspense. Three late fees, $217.44 in all, were charged on payments sent on time to Ashgrove and must be reversed. Eleven autopay enrolments made on 30 Sep never loaded, and the next draft is 1 Nov — one click re-enrols them.

  10. 10When high and medium close

    Certified from the same record

Hannah Liu · Servicing compliance officer

The certification lists what was checked — every loan, 186 fields each, 61,904 documents named, the escrow wire of $14,862,310.44 tied to the tape, 1,286 payments in the window — then what was found, fixed and still open by category. Renée prepares it; Hannah signs when the high and medium items are closed, with the activity trail behind every line.

Built on the engine

6 agents. Each with one job, and hard limits.

Six specialist agents match every loan's tape to its signed documents and the old servicer's notes; the transfer manager approves every fix.

Tape and image reader

Reads the prior servicer’s tape and splits the image bundles into documents — note, deed of trust, trial plan notice, application, escrow analysis, letters, payment history — each named to its loan by the old and new loan numbers.

  • Never edits the prior servicer’s tape or images
  • Re-keys a loan whose number differs between files
Field comparer

Compares 186 fields on every loan across the tape, the governing document and the boarded record, with a tolerance for each field.

  • Records all three values and their sources for every difference
  • Never decides between two documents that disagree — it raises them
Workout carry-over checker

Reads the prior servicer’s servicing notes and matches every trial plan, application, forbearance and modification to its agreement and the boarded record — including plans that never reached the tape — and finds trial-sized payments with no plan on the tape.

  • Never changes a plan’s terms
  • Asks the prior servicer for a missing agreement before the borrower
Escrow and disbursement checker

Ties the escrow wire to the tape, compares balances, and finds taxes and insurance due in the look-ahead with nothing scheduled.

  • Never pays, cancels or force-places anything
Payment and fee watcher

Watches payments sent to the prior servicer in the 60-day window, late fees, suspense and autopay.

  • Never charges a fee
  • Never reports to the credit bureaus
Harm ranker and correction drafter

Ranks every difference by harm to the borrower and its date, groups differences that share a cause, and drafts each correction with its owner and borrower letter.

  • Never posts a correction without a person’s approval
  • High when money or credit harm reaches the borrower within 30 days or a workout is affected
Transfer manager

Approves; compliance certifies. The agents propose; a named person decides.

Ask in plain words

Ask about any loan, field, workout or clock

The transfer team can ask in plain words — or say what to correct. Every answer cites the tape, the file, the notes or the rule.

Why is the Arreola loan billing the full payment?

Because the trial plan never reached the tape. Ashgrove’s tape has the loss mitigation fields blank and bills $2,086.91, and the boarded record copied it. Ashgrove’s notes say otherwise: on 14 Aug “Flex TPP approved — 3 pmts of $1,412.36”, and on 2 Sep “pmt 1 of 3 received”. The signed notice is page 41 of the file. So the 2 Oct payment of $1,412.36 sits in suspense and a $69.31 late fee is scheduled for Fri 16 Oct.

Which borrowers could get a late fee or a bad credit report this month?

9 Flex trial plans not on the tape, billed in full — 16 Oct fee. 4 trial plans in Ashgrove’s notes with no signed agreement — 31 Oct report. 3 late fees inside the 60-day window — already charged. 11 autopay enrolments not carried — 1 Nov draft.

Are we on time with the loss mitigation applications we inherited?

Yes, so far. 14 complete applications were pending on the 1 Oct transfer date, so each must be evaluated by Sat 31 Oct. Tomás Quintero’s team has evaluated 5; 9 are in evaluation with 19 days left.

Board all nine Flex trial plans from the notes and notices

Done, with your approval recorded. Each plan was boarded from Ashgrove’s notes and its signed notice: $8,154.39 applied from suspense on 6 loans, 9 late fees and 9 delinquency notices cancelled, and a letter to each borrower queued for your approval.

Questions

What servicing teams ask us.

How is this different from a tape-to-system boarding check?

A tape-to-system check passes a loan when the boarded record copies the tape — even when the tape is wrong. This solution also reads the signed documents and the prior servicer’s notes, so a trial plan set up in the notes but blank on the tape is found as a break. In the working solution that is how 9 Flex trial plans were found on day 11.

Does it find in-flight loss mitigation the prior servicer did not list?

Yes. The workout carry-over checker reads the servicing notes and searches the payment history for trial-sized payments with no plan on the tape. On the sample tranche it found 4 loans beyond the 63 on the prior servicer’s list, and asks the prior servicer for any missing agreement before the borrower.

How does it rank exceptions?

By harm to the borrower, then by date. High is money or credit harm within 30 days, and workouts, fees and lapsed insurance are always high; medium is harm within 90 days or a notice at risk; low is data hygiene, fixed in batches. The thresholds are settings.

Does it post corrections to our servicing system on its own?

No. The agents draft each correction with its evidence, owner and borrower letter; the transfer manager approves before anything is posted, and a fix that touches more than 25 loans needs a second approver. The agents never pay, charge a fee, report to the credit bureaus or change a plan’s terms.

Does it help with the 60-day payment window and escrow?

Yes. It shows payments forwarded by the prior servicer, late fees charged inside the window to reverse, autopay enrolments not carried, escrow balances against the wire, and taxes and insurance due in the next 45 days with nothing scheduled.

Can compliance certify the transfer from it?

Yes. The post-transfer certification is built from the same record — what was checked, found, fixed and still open, with the activity trail — and the compliance officer signs it when the high and medium items are closed.

How long does it take to go live?

The Agentic Solution Engine builds and deploys it from your requirements and documents — your tape layouts, field set, harm rules and a sample transfer — and it goes live once every quality gate has passed. We will walk you through it on one of your own transfers first.
