This Privacy Policy describes how we collect, use, process, and disclose your information, including personal information, in conjunction with your access to and use of our website, https://botminds.ai. If you see an undefined term in this Privacy Policy, it has the same definition as in our Terms of Service.

When this policy mentions “Botminds,” “we,” “us,” or “our,” it refers to Botminds AI Technologies Private Limited, the company that is responsible for your information under this Privacy Policy.

The Website uses a third-party payment gateway. When you make a payment — toward a license fee for our product, against invoices raised to you, or any other ad-hoc payment on the Website — you also provide your information, including personal information, to that gateway. Information you provide to the payment gateway is governed by its own privacy policy, accessible from the payments page.

Information you give to us

We ask for and collect personal information about you — or, if you are an employee of a client company, details of that company where applicable — when you use the Website. This information is necessary for the adequate performance of the contract between you and us and to allow us to comply with our legal obligations. Without it, we may not be able to provide you with all the requested services. This includes:

Account information. When you sign up, we require your first name, last name, and email address. Certain features may require additional information such as your address and phone number.
Payment information. To make payments for products or services, we may require financial information (such as bank account or credit card details) to facilitate processing via the payment gateway.
Communications. When you communicate with Botminds, or use the Website to do so, we collect information about your communication and anything you choose to provide.
Information you choose to give us. You may provide additional personal information for a better user experience; it is processed based on your consent. Information provided to the payment gateway. The gateway may require information necessary for the adequate performance of its contract with you and to comply with applicable law, such as anti-money-laundering regulations. That information is controlled and protected by the payment gateway provider under its own terms of service and privacy policy.

Information we collect automatically

When you use the Website, we automatically collect information, including personal information, about the services you use and how you use them.

Audience measurement

We measure how this website is used with a first-party, cookieless analytics system operated by us — this system shares no data with advertising networks or third-party analytics providers. For each page view we record the page address, the referring site, the browser’s timezone, the device class (mobile, tablet or desktop), and a short-lived anonymous identifier derived by one-way hashing of connection data with a salt that is discarded every 24 hours. Your IP address and browser details are not stored, no cookies or other identifiers are placed on your device for this purpose, and the identifier cannot be linked across days or across websites. This measurement is performed on the basis of our legitimate interest in understanding aggregate site usage; you can opt out by choosing “Essential only” in the cookie notice.

Google Analytics (only if you choose “Accept all”)

If you choose “Accept all” in the cookie notice, we also use Google Analytics 4, a service of Google LLC, to understand how the Website is used. Nothing is sent to Google Analytics and no Google Analytics cookies are set until you make that choice. Once you do, Google Analytics places cookies on your device (named _ga and _ga_ followed by an identifier) that hold a random identifier and expire two years after your last visit, and your browser sends Google the address of each page you view, its title, the referring site, and technical details such as your browser, device and approximate location derived from your IP address. Google Analytics does not log or store IP addresses. We do not use Google Analytics for advertising: advertising storage and personalisation stay switched off. This processing is based on your consent. You can withdraw it at any time: choose “Cookie settings” at the foot of any page, then “Essential only”. Google Analytics then stops at once, sends nothing further, and its cookies are removed. Google’s own practices are described in its privacy policy at https://policies.google.com/privacy.

Our monthly digest

If you contact us about our products (a demo request, a contact message, a partner enquiry or a whitepaper download), we may send you our monthly digest. Every issue has a one-click unsubscribe link, and once you unsubscribe we send you no further issues.

How you found us (forms only)

When you send us a form (a demo request, a contact message, a newsletter sign-up and the like), it also tells us how your visit began: the website or campaign link that brought you here, the first page you opened, and the page you were on before the form. Your browser keeps this note in its session storage for the current tab only, it is deleted when you close the tab, and it is never sent to us unless you submit a form. It is not linked to the audience measurement above and carries no identifier. If you choose “Essential only” in the cookie notice, the note is deleted and nothing about how your visit began is sent with your form — only the address of the page the form is on, as for everyone.
