What is Renewal & Remarketing Management?

Software that runs each commercial renewal as a project with dates: refreshing exposures and loss runs, reading the incumbent's offer, deciding whether to remarket, sending submissions, comparing quotes with the expiring program and getting the client's sign-off before expiry. Renewal & Remarketing Management opens every renewal 120 days out and has six agents do the chasing, reading and drafting.

The problem

Why commercial renewals end in rushed placements

Every commercial account renews every year, and every renewal is a small project: a fresh statement of values, payroll and vehicle schedule, five years of loss runs, the incumbent's renewal offer, a decision line by line to renew or remarket, submissions, quotes, a client proposal and a sign-off before expiry. In most agencies that project lives in the renewal list, a spreadsheet and the account manager's inbox.

Reminders fire on fixed dates, so nobody sees a renewal drifting until it is late. The controller is on leave and the exposure update arrives four weeks behind; a market asks for a new survey; the incumbent releases its offer late. By the time the account manager notices, the quotes come in days before expiry, the better terms are gone, and a sublimit or exclusion that quietly fails to match the expiring program slips into the bind.

One case, step by step

One renewal, pulled back from past expiry

Kessler Ridge Foods renews on Tue 1 December: $539,400 across property, GL, auto, umbrella and cyber. It is Monday 12 October, 50 days out. Here is what happens next, screen by screen, in the working solution.

  1. 01Monday, 07:00

    Twelve renewals, one expiry line

    Nina Alvarez · Account manager

Nina opens the runway: 12 renewals in the next 120 days, $3,017,700 of premium, every one opened at 120 days. Each renewal is a row on one shared scale, so all the expiry dates line up on one red line. The diamond on each row is not the plan — it is where that renewal will bind at today's pace. Seven replies came in overnight and are not in the forecast yet.

“Each runway: 120 days out on the left, its expiry on the shared red line, 20 days of overrun on the right.”

  2. 02One click

The overnight replies move the markers

    Pace forecaster

Nina applies the overnight replies. The Pace forecaster reads seven market replies and two client emails and re-lands every renewal. Ostrander Logistics' incumbent offer is in at +2.9%, inside the trigger, so it renews. Kessler Ridge Foods slides from 27 Nov, 4 days to spare, to 7 Dec — past its expiry — and turns red.

“Forecast updated · Kessler Ridge Foods now lands 6 days past expiry.”

  3. 0350 days out

Why it lands there, in plain arithmetic

    Nina Alvarez · Account manager

The account shows the full runway with its nine milestones. The exposure update came in on 30 Sep, 28 days late, and the incumbent offer on 2 Oct. The landing is a chain anyone can check: submissions out Thu 8 Oct, plus 30 days of market turnaround, 7 to compare and negotiate, 3 for the proposal, 13 for client review and 7 to bind and issue binders — Mon 7 Dec.

“The marker is where this renewal binds at its current pace — not the plan.”

  4. 04On file since 6 Oct

The remarket decision, with its reasons

    Tom Reyes · Account executive

Why is Kessler being remarketed at all? Granite Shore Mutual's property offer is up 25.0%: 9.5% in rate and 16.4% in insured values, to $79.6M with the new Building 4. Six peer food and cold-storage renewals in the book fell a median 3.8%. Northpoint offers only $5M of the expiring $10M umbrella. Tom recorded the decision — remarket property, split the umbrella, renew GL, auto (counter at $124,050) and cyber.

“Recorded before the first submission went out.”

  5. 05One click

A recovery plan, tested against the pace model

    Pace forecaster

Nina asks for a recovery plan. The agents read the two survey requests, find the Granite Shore loss-control report of September 2025 and the process safety file, check the client's calendar and test three changes. Send the report and the Building 4 file to Halvorsen and Coldwater (−8 days); book the sign-off meeting with Victor Lindqvist for Mon 16 Nov, 10:00 (−6 days); ask Granite Shore for a 30-day extension as a backstop.

Both markets accept a survey under 18 months old; the report is 13 months old. The forecaster proposes — it never changes a milestone date.

  6. 06Accepted, 07:31

    Back inside the expiry line

    Nina Alvarez · Account manager

Nina accepts the plan. Market turnaround drops to 22 days and client review to 7, and the marker slides back across the red line: Mon 23 Nov, 8 days to spare, against a planned bind of Tue 24 Nov. The extension request stays a safety net, used only if the quotes slip again, and only with the service team lead's approval.

“Plan accepted · documents sent to Halvorsen and Coldwater · sign-off booked 16 Nov.”

  7. 07Same morning

    Every market, every reply, read

    Quote reader & coverage matcher

Eight submissions went out on 8 Oct, on the market plan Tom approved on 6 Oct. Ridgeline Assurance declined — ammonia refrigeration is outside its appetite. Ashgrove Excess quoted $5M xs $5M at $38,600, following form. Brightwater Wholesale sent $231,500 for property, but as an indication, and the Quote reader marked it so. Halvorsen and Coldwater now show documents sent, quotes due 30 Oct.

“Indications are marked and cannot be selected for binding.”

  8. 08Drafted

The client messages, drafted and chased

    Data refresher

Every request to the client sits in one ledger: the exposure update to Ellen Brody, the controller, chased on 21 Aug, 4 Sep and 18 Sep; loss runs from four carriers; the Building 4 documents from Ray Okonjo, the plant engineer. This client's past renewals ran at 1.2× and 1.4×, and 2.2× so far this year; the forecast uses the median, 1.4×, so the 9 client days still ahead become 13. A message to Ray is drafted and waits for Nina.

“First message to this contact: needs your approval.”

  9. 09Draft 2

A proposal that shows what does not match

    Quote reader & coverage matcher

The renewal proposal for Victor Lindqvist sets the expiring program, $539,400, against the best terms so far, with three property quotes pending. Four margin notes quote the exact wording: the Brightwater figure is an indication, not a quote; its spoilage sublimit is $250,000 against an expiring $1,000,000; it adds an ammonia contamination exclusion; and the umbrella drops to $5M unless the excess layer is placed.

A proposal goes to the client only when every coverage difference against the expiring program is resolved or explained.

  10. 10The book

The whole book, and every decision behind it

Shauna Pratt · Service team lead

The book keeps every remarket decision with its reason, who made it and when. All 12 renewals in the window were opened at 120 days; before the runway, renewals started a median 64 days out. Two still land late at today's pace, flagged 34 to 50 days before expiry — and the book shows where renewals slip: the exposure update, market quotes, the incumbent offer and client sign-off.

6 agents. Each with one job, and hard limits.

Six specialist agents run every renewal and forecast where it will land; the account executive decides what to remarket.

Runway planner

Opens a runway for every policy 120 days before expiry, sets its nine milestone dates from the settings and adds the state notice dates for conditional renewal and nonrenewal.

  • Never moves an expiry date or a date the client agreed
  • Opens every renewal — none skipped
Data refresher

Drafts the exposure-update request, asks each carrier for five years of loss runs, chases every 14 days, and reads the SOV, payroll by class, vehicle schedule and sales against the expiring exposures, flagging changes over 10%.

  • The first message to a client contact needs the account manager
  • Never edits exposures on the policy record
Remarket advisor

Compares each line's renewal offer with the expiring terms, the remarket triggers, peer renewals in the book, the loss history and market capacity, and recommends renew, remarket or split.

  • Recommends — the account executive records the decision
  • Every reason cites its source
Submission builder

Builds each market's submission — application data, statement of values, five years of loss runs and a short narrative of changes — and sends survey and engineering documents when a market asks.

  • Only markets on the approved plan
  • Never signs an application for the client
Quote reader and coverage matcher

Reads every reply as a declination, information request, indication or firm quote, and lines the terms up against the expiring program — sublimits, exclusions, deductibles and limits.

  • Indications are marked and cannot be bound
  • Never calls two coverages equal without quoting both wordings
Pace forecaster

Re-lands every renewal nightly and on every reply, stretching the steps left by the client's lag and the markets' turnaround for this class and size; when a landing is within 7 days of expiry or past it, proposes the smallest set of changes that brings it back.

  • Never changes a milestone date — it proposes
  • Shows how every landing was computed
Account executive

Records every remarket decision with its reason. The agents propose; a named person decides.

Ask in plain words

Ask about any renewal, in plain words

Ask about any renewal, its landing, a market reply or a remarket decision — or say what to change. Every answer points to its source.

Why is Kessler Ridge Foods landing late?

Two property markets want a new survey of Building 4 before they quote. Halvorsen and Coldwater each asked for an ammonia refrigeration survey overnight, which adds about 10 days to the quotes. The exposure update also came 28 days late, so the client review is forecast at 13 days. At that pace the renewal binds 7 Dec, 6 days after expiry. Both markets accept a survey under 18 months old, and the Sept 2025 loss-control report qualifies.

Which renewals land within a week of expiry?

Five, at today's pace: Gahanna Plastics Recycling, 11 days late, property nonrenewal, E&S only; Kessler Ridge Foods, 6 days late, survey requests; Halden Street Apartments, 2 days late, 2 of 4 quotes in; Wexford Precast Concrete, 1 day to spare, exposure update overdue; Torrance Brook Brewing, 6 days to spare, liquor quote outstanding.

Draft the survey documents email to Halvorsen and Coldwater

Drafted. It sends the Sept 2025 loss-control report, the Building 4 process safety summary and the July commissioning certificate, and cites the 18-month rule from both replies. Both markets are on the approved plan. It is open for you to send.

Remarket any line whose renewal offer is up 10% or more

Done. New trigger: “Renewal offer up 10% or more in total → recommend remarketing the line.” It applies to offers that arrive from tonight. Two open renewals already meet it and are being remarketed: Kessler Ridge Foods property (+25.0%) and Halden Street Apartments property (+14.2%). You can change it in Settings.

Governance

Built for E&O-sensitive work: decided, cited, on the record.

A named person makes every remarket callThe Remarket advisor recommends; the account executive records the decision line by line, with the reason, before the first submission goes out. Changing a line's decision later needs a reason too.
An indication is never a quoteEvery reply is classed as a declination, information request, indication or firm quote. Indications are marked and can never be selected for binding.

Agents propose; people move datesThe forecaster never changes a milestone or expiry date. A recovery plan is accepted by the account manager, and a binder extension is approved by the service team lead.
Coverage differences, shown in both wordingsThe coverage matcher never calls two coverages equal without quoting both. A proposal goes to the client only once every difference against the expiring program is resolved or explained.
Every claim cited, every step on the recordEach reason points to its source — the renewal offer, the SOV, the loss runs, a market reply. Every agent step and human decision is kept on the account's activity trail, with who and when.

Questions

What brokers ask us.

What is insurance renewal management software?

Software that runs each commercial renewal as a project with dates: refreshing exposures and loss runs, reading the incumbent's offer, deciding whether to remarket, sending submissions, comparing quotes with the expiring program and getting the client's sign-off before expiry. Renewal & Remarketing Management opens every renewal 120 days out and has six agents do the chasing, reading and drafting.

How does it know a renewal will land late?

The Pace forecaster takes the steps left and stretches each one by what the account has really done — the client's lag over its last three renewals, and how long the markets on its plan took to quote risks of this class and size over the last 24 months. It re-lands every renewal nightly and on every reply, and shows the arithmetic behind each landing.

Does the AI decide whether to remarket?

No. The Remarket advisor recommends renew, remarket or split for each line, with the triggers met and every reason cited. The account executive records the decision and the reason, before the first submission goes out.

Can it send submissions or bind on its own?

It sends submissions only to markets on the approved market plan, and never signs an application for the client. It never binds, and indications are marked and can never be selected for binding.

Will it catch coverage that does not match the expiring program?

That is one of its main jobs. The Quote reader and coverage matcher lines every quote up against the expiring program and flags lower sublimits, new exclusions, deductibles and limits, quoting both wordings. A proposal goes to the client only once every difference is resolved or explained.

Can we set our own milestones and remarket triggers?

Yes. The nine milestone dates, the remarket triggers, how the client lag and market turnaround are measured, when a renewal leans amber, who records remarket decisions and who approves binder extensions are all settings.

Do our people stay in control?

Yes. Agents read, draft, forecast and propose; people decide. The account manager approves the first message to each client contact and accepts recovery plans, the account executive records remarket decisions, and only people move a date.

How long does it take to go live?

The Agentic Solution Engine builds and deploys it from your requirements — your renewal milestones, remarket rules, market plan and a sample of your book — and it goes live once every quality gate has passed. We will walk you through it on your own renewals first.

See it on
your renewals.
