REACH Compliance

REACH compliance for petrochemical product stewards: one new entry traced through registrations, products, sheets and customers, with the doubtful heavy streams left to your toxicologist.

The problem

One list entry, four systems, and the customer ring mail-merged last

A new entry lands on the candidate list. The analyst searches formulas in the sheet authoring system and the ERP by name and by identifier, then the language versions of each sheet, then the shipment history. The fourth ring, the customers, is the slow one, and it is mail-merged at the end from a shipment report.

Heavy aromatic streams make it worse. Their makeup is known only as a range, cuts change, bought-in streams join after the sample point, and an old outside study stays on file. Under-reach misses a customer owed a sheet. Over-reach tells a customer a product carries something it does not, and that letter gets quoted down the supply chain. When an inspector asks who was told what, the team rebuilds it from email.

The Problem Today

One new chemical entry can reach hundreds of customers, and nobody can say quickly which ones or how sure that is.

12-month
window: each customer supplied in it gets the new sheet published
235 h
by hand for one update: formulas, sheets and letters our estimate

Traced by hand today

  • Substances
  • Products
  • Sheets
  • Customers
  • Makeup not known exactlyA heavy stream near the line has no single answer
  • Letters at real volumeEach customer's letter names what that customer took

The Solution

  1. Read the changeAgents read each new entry and open a change with its date and source
  2. Trace the reachRow by row through registrations, products, sheets and customers
  3. Mark what is uncertainA range that crosses your line goes to the toxicologist, not a guess
  4. Draft, then signSheets and letters drafted; the steward opens a sample, then signs

Built-in controls

  • The agent marks a range and never rules
  • Whoever rules or drafts cannot countersign
  • Health questions go to a named person

What You Get

Stewards see the whole reach at once and send letters only where your own rule says they go.

  • Dossier dates on one listEach update date cited to the guide it came from
  • Evidence for a visitOne download: sheets, recipients, rulings and signatures
  • A ruling that can reopenA batch over its condition brings customers back in reach

REACH compliance on one SVHC candidate list entry: 214 customers become 198

An aromatics plant with 64 registered substances, 212 products, 1,180 safety data sheets and 3,940 customers. A sample entry lands on the candidate list, and one solvent stream sits close to the plant’s own line.

demoThe plant, the people, the entry and the figures are sample data. The entry is fictional and is labeled so on each screen.

  1. 01Before 09:18

Four registrations, eleven products, 37 sheets and 214 customers on one ladder

    Stewardship analyst

The analyst sees all four rings at once, each row wider than the last. Three registrations are solid. R-18, a heavy aromatic solvent, is hatched: its range runs 0.02 to 0.18% against a line of 0.1% by weight, and three solvents hang on it. The next step on the panel is to send it to the toxicologist.

  2. 0209:18

The range is wide because of a 2019 study on a cut the plant no longer runs

    Toxicologist

Four bars sit against the 0.1% line: the agent’s range, the 2019 study on the old cut, 14 batches since the 2023 cut, and the worst case with the bought-in stream. The worked sum under them gives 0.078% in TAS-200, or 0.082% with the method error. She cannot record a ruling while any of the three sources is still unread.

  3. 0309:24

The top of the range rests on a 2019 study that never separated the peaks

    Toxicologist

She opens the plant lab’s 14 batches first, then the outside study. The report reads 0.12% ± 0.06 on a sample from the old cut, end point 320 °C, with the constituent not separated from the neighbouring peaks by that method. That is where the top of the range comes from, and the plant lowered the end point to 305 °C since.

  4. 0409:30

Out, below the line as supplied today, with conditions that reopen it

    Toxicologist

With three of three sources opened, she chooses out and the reason: current data below the line in the worst case. The conditions sit under it: a first blend tank sample due on a set date, then each quarter, the bought-in share kept at 8% or less, and a blend tank sample above 0.08% reopens the ruling. The ruling then waits for the product steward.

  5. 0509:36

    Countersigned: 3 registrations, 8 products, 28 sheets, 198 customers

    Product steward

The steward opens the ruling and its sum before countersigning; he cannot countersign unread. Only then does the reach fall, and the ladder redraws with R-18 and its three solvents greyed. Sixteen customers who took nothing but an R-18 solvent come off under the plant’s own rule and get nothing. The 25 who also took a product above the line stay, with their letters rewritten.

  6. 0609:51

Five batches signed, the sixth holds 25 letters and 3 drawn at random

    Product steward

On the letters page, 173 of 198 are signed, each earlier batch with its opened count. The batch of 25 customers who also took a solvent is with the steward. The sampler drew 3 at random, covering products and languages first, and logged its seed. Each drawn letter must be opened before the batch can be signed, and one click never signs more than this batch.

  7. 0709:54

A drawn letter names what this one customer took, and the solvent’s ruling

    Product steward

The letter lists the customer’s own products with the constituent by weight and the sheet revision each one gets. A line below says the solvent they also took was assessed below 0.1% from the data held, so its sheet does not change. The steward reads the English source; the letter goes out in the customer’s language, checked line by line by the language checker.

  8. 0810:03

198 of 198 signed, 24 letters opened first

    Product steward

He opens all three drawn letters and signs the batch of 25. The page now reads 198 of 198 letters signed, 24 opened first, and the panel lists this batch’s three openings by letter, person and time. A signed batch keeps its openings as they were at signing, so a later setting cannot rewrite what the steward actually read.

  9. 09After signing

Two batches cannot go until one Spanish sheet is signed

    Customer service lead

Release runs batch by batch, and only signed letters go. Four batches are ready. Residue customers and the solvent batch show blocked by an unsigned sheet: THR-30 in Spanish, where the language checker caught a line saying the opposite of the English. The panel beside lists who agreed to the reach, the ruling and the letters, and that customer service cannot change a word of a letter.

A heavy solvent stream close to the line, on three records that disagree

Three records on file, each telling a different part of the story. The toxicologist opens all three before she can record a ruling.

Around the change

Sheets, sums and the trail behind each REACH compliance decision

The rest of the stewardship team’s screens on this one change.

Open changesEach list entry, hazard class, tonnage band or new use is its own change, with its four counts and its clock. One is already past its date.
Each product’s sumThe reach as lists. Pick a blend and the side panel shows its makeup: CBF-9 is 60% R-21 and 40% R-22, which gives 0.54% to 1.06%.
Sheet revisions by language27 of 37 sheets signed. Each product shows its revision and every language version, so the steward sees which one holds the rest up.
One line that said the oppositeOld and new side by side, each changed section cited. One line of the translation said inferior where the source says above; nobody signs until the steward reads the fix.
Rules a second person approvesThe line, the letters opened per batch and the days to send are the plant’s own rules. The analyst proposes, the steward approves, and nothing changes before that.
The trail an auditor readsEach source opened, the ruling, the countersignature, the draw and every letter opened before signing, by person and time. Nothing here can be edited.

The agents

Eight agents trace a list entry, and none of them rules on a range

They read, trace, draft and draw. Rulings and signatures stay with people.

List watcher

Opens a change for each new entry and works out its date.

  • Never decides scope
Makeup tracer

Traces the constituent through files, lab results and formulas, always as a range.

  • Never rules in or out
  • Never rounds a range to yes or no
Customer mapper

Reads shipments in the window and finds who is on the list.

  • Read only on the ERP
  • Never contacts a customer
Sheet drafter

Drafts changed sections with a source behind each line.

  • Never issues a sheet
Language checker

Compares language versions for meaning, numbers and direction.

  • Never edits; a flag blocks signing
Letter drafter

Writes one letter per customer, naming what they took.

  • Never signs or sends
Sampler

Draws the letters a steward must open, at random, with the seed logged.

  • Never opens or signs
Reply router

Reads customer questions and routes each by meaning to one person.

  • Never answers a health or exposure question

What product stewards ask about REACH compliance on heavy streams

What is REACH compliance software for a petrochemical producer?

REACH compliance software keeps registrations, products, safety data sheets and customers tied together, so one change can be traced to everyone it reaches. This solution reads each new entry, traces it row by row as a range, sends doubtful heavy streams to your toxicologist, and drafts sheets and customer letters for a steward to sign.

How does it handle UVCB substances whose makeup is only a range?

The makeup tracer keeps every figure as a range and shows where it comes from: lab batches, outside studies, certificates for bought-in streams. When a range crosses your line, it works the worst case, marks it and stops. A toxicologist rules in, out or asks for more data, after opening each source.

What happens when the SVHC candidate list is updated?

The list watcher opens a change with its date and source. The reach is traced through registrations, products, sheets and customers, and the change gets its own clock by your rule. Each change sits on one list with its four counts, so the team can see which ones are open, waiting or past the date.

Who gets a safety data sheet update?

Every customer supplied with an affected product in the last twelve months, as the rule states it, which is not a setting. The customer mapper reads shipments in that window. Customers who took only a product ruled below your line come off, under your own rule, and get nothing.

How many customer letters does the steward read before signing?

A drawn share of each batch, set by your rule: a tenth, and at least three. The sampler draws them at random, across products and languages first, and logs its seed. The steward must open each drawn letter before the batch can be signed, and customer service releases signed batches only.

Does it answer health or exposure questions from customers?

No. The reply router sends a health or exposure question to the toxicologist, with a clock, and gives no data back. Rule questions go to the steward and contact changes to customer service.

What does an auditor get for an inspection?

A read-only view of everything, a trail of each opening, ruling and signature, and one evidence file with the ruling, its conditions, who received a letter and who came off and why.
