Asset Register Management

Asset register management software that reconciles the ledger, the maintenance system and the plant the way an accountant closes a bank statement.

The problem

Three lists of the same machines, and none of them agree

The finance ledger says what the company owns and what it cost. Crews work from the maintenance system’s list of what they look after. And the plant is what actually stands there. Someone builds a crosswalk in a spreadsheet on tag, then description, then location, and flags the rest by hand, usually when an ERP move or an audit finding forces it.

Then the next pump swap starts the drift again. Rotating machines, relief valves and motors trade places with repaired spares, the position keeps the old serial, and nothing makes the swap reach finance. A finance line from years ago can hold a whole compressor package, so nobody can say which part a replacement retired or which machine a capital plan is about.

The Problem Today

Finance, maintenance and the plant each keep their own list, and nobody can prove they are the same machines.

One finance line, one day

A $14.2M compressor line, opened into 38 items and walked to its plates

A hydrogen make-up compressor package capitalized years ago as one finance line, at a refinery that runs two such compressors side by side. Below is the day it was tied to its machines, screen by screen.

demoSample data throughout: the compressors, the crew and the dollar amounts.

  1. 01Morning

41,880 finance lines, 148,300 maintenance records, 96,412 items seen

    Asset manager

The three books sit side by side like a bank reconciliation, each with its own count: what finance owns, what maintenance looks after, and what has been seen in the plant in the last 36 months. Reconciling rows follow underneath, starting with one line holding one item and one line opening into many. The next step names the compressor line first.

  2. 02Morning

3,464 bundled lines hold $1,255.7M, and seven are opened first

    Asset manager

The bundled lines are the biggest open money. The package splitter has put 3,457 of them into four batches by equipment class, each owned and dated. Seven go first because a person must see them: a machine out of place, or an item with no proof. The compressor package tops that list, 38 items, agent sure 97%.

  3. 03Late morning

One line opens into 38 items from five cost sources

    Asset manager

The line opens with its gross of $14,216,480, accumulated depreciation of $12,557,891 and book value of $1,658,589. Each item carries where it stands, its maintenance record and match, book cost, book value and evidence. 33 of 38 costs are allocated by estimate and marked so. One row stands out: the motor sits at the sister compressor.

  4. 04Late morning

The motor moved to the sister compressor, and the books never followed

    Asset manager

The serial trail draws the motor’s life across both compressors and the rewind shop. It was commissioned on its own package, moved to the sister machine when that one’s motor failed, and a later test sheet there quotes its serial. Beside it, the two motors compare: frame and rotor 17 years against 23, windings original against 9 years since a rewind.

  5. 05On the route

The plate at the sister compressor reads the package’s own motor

    Field verification technician

The route starts with the critical and least proven stops. At the first, the position tag is scanned, and the book serial for that position differs from what the plate says. The proof goes to the serial on the plate, so it lands on the motor bought with the package. The route marks the stop as a different serial.

  6. 06On the route

At the package’s own position stands the older motor, rewound

    Field verification technician

The second stop is the package’s own compressor. Its plate reads the older motor bought with the sister machine, with a rewind tag. The panel above the route now shows both compressors with book serial and plate serial, crossed. Seen in the plant rises by two, to 96,414, and the trail’s question about which motor is which has its answer.

  7. 07After the walk

The split and the serial move go to two checkers at once

    Asset manager

The asset manager proposes the split, giving as the reason that the items tie to the cost sources and closeout. That also proposes the motor move. The panel turns to the checkers: the accountant signs the money, the plant lead signs the move. It says plainly that the person who proposed cannot check it.

  8. 08Afternoon

Life, depreciation and book value for each component, before signing

    Fixed-asset accountant

The accountant opens the vendor order, the project closeout and the component schedule, and each turns green on the checklist. The schedule spreads accumulated depreciation and book value pro rata, and shows years left and the charge a year. Parts below the significant part line roll together. The rewind’s $412,760 stays expensed, and signing accepts that.

  9. 09Afternoon

The walk record shows the plate, the tag scanned and the device used

    Maintenance engineering lead

The plant lead opens the work order for the motor move, then the field photo. The record holds who walked, the position tag scanned, what the plate reads against what the book said, and the device and permit: an intrinsically safe phone with a gas test passed. Only with both opened does the move become signable.

  10. 10End of day

Signed, and the difference falls by one line and $14.2M

    Maintenance engineering lead

With both signatures, the panel reads signed, and a split request has gone to the ERP: one parent line, 30 sub-numbers, depreciation moved pro rata. Until the ERP approves, this register leads the ledger. The spread rule is locked, and a change needs a reopen with a reason. On the books, the difference still open drops to 5,121 lines and $1,356.1M.

What asset managers and controllers ask about asset register management

What is asset register management?

Asset register management keeps one list of the physical machines a company owns, each tied to its money, its maintenance record and proof that it is there. This solution reconciles the finance ledger, the maintenance system and the plant against each other, opens bundled lines into items, follows serial numbers and grades each asset’s evidence.

Can a spreadsheet crosswalk do the same fixed asset register reconciliation?

A spreadsheet crosswalk links two lists on a shared tag and stops. Here agents read purchase orders and closeouts to open old bundled lines, rebuild a serial’s path from work orders and test sheets, and plan a walk from the evidence gaps. Each result is a proposal that people sign.

How does it handle a machine that moved between positions?

The serial tracer follows the serial through work orders, shop records and test sheets. A nameplate photo proves the serial at a position, and the proof goes to that serial. The asset manager proposes the move, and the plant lead signs it after opening the work order and the photo.

Does it do component accounting?

Yes. A bundled line opens into its items, with cost from the sources and shared cost spread by a rule the accountant accepts. Accumulated depreciation and book value are spread pro rata, only the years ahead change, and parts below the significant part line roll into a parent.

What counts as proof that an asset exists?

Proven means seen in place within the age of proof, with a record to open such as a photo, a closed inspection or a test sheet naming the serial. Partly proven means the records agree it was installed and nobody has seen it lately. Claimed means one book says so and no record shows it in place.

Who signs a write-off?

The asset manager proposes, the plant lead confirms the items are gone, and the accountant signs the money. Above the controller limit, the group financial controller signs last. The checker opens a sample of the lines first, and one failed line sends the batch back.

Does it post to our ERP?

No. After both signatures it sends a split or retirement request, and the ERP’s own approval still applies. Until that approval comes through, the register shows itself ahead of the ledger and says so.
