What is Reinsurance Placement Management?

Software that tracks a treaty program from quotes to signed lines: every quote, firm order and written line per layer, the conditions attached to each, and the signing that brings an over-placed layer to 100%. Reinsurance Placement Management adds six agents that read every authorisation as it arrives, compare it with the firm order terms, check security and work out the signing down.

The problem

Why signing down still eats the last fortnight before 1/1

At each renewal date a treaty broker places many programs at once. Quotes, authorisations and line slips arrive from dozens of reinsurers by email, portal message and scan, each written line with its own conditions: a minimum signing, a collateral trust, a shorter hours clause, “subject to final model output”. The broker re-keys them into a spreadsheet, and a condition in the third paragraph is easy to miss.

When a layer closes over-placed, every line that does not stand is cut by the same factor and rounded so the layer totals exactly 100.00%, then checked against each reinsurer’s own minimum and the client’s buying instructions. One new or withdrawn line changes every number. A line written on terms that differ from the firm order does not belong in the signing — and a signing error that goes out on a signed-line advice has to be corrected with every reinsurer.

One case, step by step

One program, from overnight lines to an approved signing

Thursday 17 December 2026, 15 days to inception. Northmoor Re Partners is placing Ashgrove Mutual’s Property Catastrophe Excess of Loss 2027 — $330M xs $20M in four layers, 23 reinsurers on 39 lines. Here is the morning, screen by screen, in the working solution.

  1. 0107:40

The whole tower, every line, on one screen

    Tomás Ferreira · Placement broker

Tomás opens the line sheet. Each layer is a bar of reinsurer lines against a hard 100% line: Layer 4 written to 112.5%, Layer 3 short at 96.0%, Layer 2 at 118.0%, Layer 1 at 104.5%. Beside it: 15 days to inception, $30.18M at firm order against $33.88M expiring (−10.9%), and a run log of what the agents did overnight.

Run log, 06:12: “Line reader read 6 new authorisations overnight — Kittering, Bellhaven, Ostrander, Calder, Westerly, Estrel.”

  2. 02Overnight

Every authorisation laid against the firm order

    Terms comparer

Each line is set against the firm order terms clause by clause — reinstatements, hours clause, exclusions, wording, premium, security. One line differs: Kittering Re’s 5.0% on Layer 2 asks for 144 hours, where the firm order says 168. Four subjectivities are open, each with its due date: Estrel’s wording by 22 Dec, Ostrander’s model output by 21 Dec, Corvane’s trust by 28 Dec on Layers 2 and 4.

“A line on different terms cannot be signed until it is settled.”

  3. 03One click

    The reinsurer’s own words, highlighted

    Tomás Ferreira · Placement broker

Tomás opens Kittering’s line and sees the authorisation itself: Jonas Albrecht, 17 Dec 2026 at 01:36, a 5.00% written line on Layer 2 “subject to an hours clause of 144 consecutive hours for any one loss occurrence”. Asking Kittering to confirm 168 hours is one button away.

The terms comparer never accepts a difference — that is the broker’s and the client’s call.

  4. 04Sign down

Written to signed, on the whole tower

    Tomás Ferreira · Placement broker

He switches from written to signed. Every over-placed layer is brought to exactly 100.00%: Layer 1 by ×0.9467, Layer 2 by ×0.8163, Layer 4 by ×0.8718. Halden Re’s lead line stands at full width; every other segment shrinks and shows its final share. Layer 3 stays visibly short.

    “Signed down Layer 1 ×0.9467, Layer 2 ×0.8163, Layer 4 ×0.8718 — every over-placed layer at 100.00%, all minimum lines hold.”

  5. 05Layer 2

Twelve lines, every condition, every signed premium

    Tomás Ferreira · Placement broker

The layer sheet lists each reinsurer with its quoted rate, written line, conditions, signed line and signed premium. Pinecrest Re wrote 12.5% subject to a minimum signed line of 10% and signs at 10.21%; Bellhaven Re wrote 4.5% subject to signing not below 3.5% and signs at 3.67%. The layer totals 100.00% and $7,800,000. Change a written line, what stands or what is in the signing, and every share recalculates at once.

  6. 06Run

Every step of the signing, shown

    Sign-down calculator

The calculator reads the 12 authorised lines, applies the buying instructions — pro rata, lead stands, Halden at 20.0% — and works the factor: 80.0 ÷ 98.0 = ×0.8163. It rounds to 0.01% by largest remainder so the layer totals 100.00%, then checks each minimum: Pinecrest 10.21% against 10%, Bellhaven 3.67% against 3.5%.

“Proposed to Tomás Ferreira — decision and client approval stay with people.”

  7. 07Layer 3 short

Capacity for the short layer, from who already quoted

    Quote analyst

Layer 3 is 4.0% short — $4.0M of limit, $290,000 premium. The quote analyst reads the 11 quotes on the layer and finds Vantor Re quoted 7.00%, under the 7.25% firm order, with capacity up to 5%, but never wrote a line. It checks Vantor against the buying instructions — AM Best A+, reciprocal jurisdiction, 5.3% of program limit after the line — and drafts the request.

It drafts the request for 4.0% at firm order terms; Tomás sends it.

  8. 08Minutes later

Vantor writes, and the tower is full

    Line reader

Tomás sends the request to Lea Brunner at Vantor Re. Its authorisation comes back for 4.0% on Layer 3 at firm order terms, and the line reader records it against its source. Layer 3 is placed at 100.0%, and the placed limit reads $330.0M of $330.0M.

  9. 09Proposed

The signing, proposed to the client

    Tomás Ferreira · Placement broker

From the placement report, Tomás proposes the signing to David Brennan: each layer written and signed, with its factor. Kittering’s line is not hidden: the proposal says its 4.08% is subject to Kittering confirming 168 hours.

“David approves in the client view. Signed-line advices go to each reinsurer only after his approval.”

  10. 10Approved · 08:47

Approved, and the advices are ready the same morning

David Brennan · Head of Ceded Reinsurance

David approves the signing in the client view, and the approval is recorded with its meaning: signed lines as proposed. The placement report is marked approved by the client — every figure the live signing — and the signed-line advices, one per reinsurer, turn ready to send.

Ask in plain words

Ask about any line, layer or reinsurer

The broker can ask about anything on the programs in plain words — or tell it what to change. Answers point back to the authorisation, the firm order or the buying instructions.

Why is Kittering Re’s line flagged?

Its 5.0% on Layer 2 is written on a 144-hour clause; the firm order says 168 hours. Jonas Albrecht’s authorisation of 01:36 reads “subject to an hours clause of 144 consecutive hours”. A shorter clause splits one storm into more losses, each with its own retention, so it is less cover for Ashgrove. Until Kittering confirms 168 hours, or David accepts the difference, the line is signed only “subject to”.

Sign down Layer 2 without Kittering until it confirms

Done as a what-if. Without Kittering the layer is 113.0% written; with Halden’s 20% standing, the other lines share 80% of 93% — factor ×0.8602. Pinecrest moves to 10.75% (minimum 10%) and Bellhaven to 3.87% (minimum 3.5%). Tick Kittering back in at any time.

Who can fill the 4% short on Layer 3?

Vantor Re. It quoted Layer 3 at 7.00%, under the 7.25% firm order, with capacity up to 5%, but has not written a line. It is AM Best A+ and in a reciprocal jurisdiction; with 4.0% on Layer 3 its program share is 5.3% of limit, inside the 20% maximum.

Ask Kittering to confirm the firm order hours clause

Sent to Jonas Albrecht at Kittering Re: “Please confirm your 5.00% line on Layer 2 on the firm order hours clause of 168 hours”. I will record the reply against the line and re-run the signing when it arrives.

Questions

What brokers and cedants ask us.

What is reinsurance placement management software?

Software that tracks a treaty program from quotes to signed lines: every quote, firm order and written line per layer, the conditions attached to each, and the signing that brings an over-placed layer to 100%. Reinsurance Placement Management adds six agents that read every authorisation as it arrives, compare it with the firm order terms, check security and work out the signing down.

How does it work out signing down?

By the client’s signing method — pro rata with the lead standing, pro rata on all lines, or the client’s preferred order. Lines that stand keep their full share, every other line is multiplied by the same factor, and lines are rounded to 0.01% by largest remainder so each layer totals exactly 100.00%. Each reinsurer’s own minimum line is checked on every change.

Does it catch lines written on terms different from the firm order?

Yes. The terms comparer lays each authorisation against the firm order clause by clause — reinstatements, hours clause, exclusions, wording, premium and security — and marks each condition a difference, an open subjectivity or cleared. It never accepts a difference; that stays with the broker and the client.

Does it check reinsurer security and collateral?

Yes. The security checker tests every reinsurer against the buying instructions: rating floor, US status, collateral for unrated reinsurers, maximum share per layer and of the program on signed lines, and sanctions screening of the reinsurer and its parent. It never waives a requirement; exceptions go to the head of placement.

Will it send signed-line advices on its own?

No. The sign-down calculator only proposes, the broker proposes the signing to the client, and signed-line advices go to reinsurers only after the client approves. Each step is recorded with who did it and when.

Where does it read quotes and authorisations from?

The placement mailbox, market portal messages and scanned line slips. Each written line is recorded with its layer, its conditions and the passage it came from; a newer authorisation supersedes an older one rather than editing it.

Can we set our own buying instructions and signing rules?

Yes. The signing method, lines that stand, the minimum signed line, rounding, rating floor, the collateral rule for unrated reinsurers, maximum share, who approves and the reminder days for open subjectivities are all settings, agreed per client.

How long does it take to go live?

The Agentic Solution Engine builds and deploys it from your requirements — your buying instructions, firm order templates, report template and a sample of past authorisations — and it goes live once every quality gate has passed. We will walk you through it on your own programs first.

See it on
your programs.
