What is Bank Account Management?

Bank account management software keeps a company's bank accounts, signatories and bank KYC records current. Bank Account Management adds seven agents that reconcile every bank's mandate, eBAM report and portal users into one account-signatory matrix each morning, take a leaver off every mandate in each bank's own channel, and answer bank KYC requests from cited entity records. The treasurer approves and signs every change.

The problem

Why a leaver can still sign at the bank months after leaving

A large group runs hundreds of bank accounts, and on each one a list of people can move money. That list lives in four places that drift apart: the bank's mandate, the bank portal, treasury's own register and the board resolutions that grant the authority. When someone leaves or changes role, HR knows the same day; treasury often hears at month end, and then an analyst searches every mandate by hand, fills each bank's form, collects two signatures and chases the bank until it confirms.

The risk sits in what nobody checks. A leaver stays on a mandate for months, a manager who moved to FP&A keeps payment approval rights in the portal, a bank never processes a removal, an account falls to one active signer and payroll stops, a change is signed by someone the resolution does not cover. Each bank also asks, every one to three years, for fresh KYC documents for every entity it banks, and restricts accounts when the answers are late.

How it works

How a leaver comes off every bank mandate

Seven agents keep every mandate current, catch leavers the day they go, draft each bank's request and answer bank KYC; the treasurer signs.

One case, step by step

One leaver, off every bank mandate in a business day

Kestrel & Vane Group runs 286 bank accounts at 19 banks in 30 countries, held by 94 entities. Mark Evans, Group Controller, left on Saturday 10 October. Here is what happens next, screen by screen, in the working solution.

  1. 01Monday 08:40

She asks the agents where to start

    Helen Cho · Group Treasurer

Overnight the agents found one leaver, one role change and one bank that never confirmed a removal, and answered two bank KYC requests. Five things wait for Helen, the first due today. She asks the treasury agents “What should I do first?” and gets the answer with the policy clause cited, and a button to open the plan.

Sync agent: “Mark Evans. Policy wants a leaver off every mandate within one business day, and that is today. The four requests are drafted and checked; it should take you about five minutes.”

  2. 02The matrix

Who can sign on every account, in one view

    Helen Cho · Group Treasurer

Accounts run down the side by bank, people across; each cell is one person's authority on one account — signer on panel A or B, payment approver in the portal, or viewer — with its limit. Mark Evans' column is red: authority on 14 accounts. Rafael Ortiz, who moved role on 1 Sep, is still a $1M portal approver at First Harbor. Osterly's portal export failed at 06:00, and the matrix says it is using the bank's confirmation of 1 Oct instead.

“Reconciled today 06:00” — each cell is one person's authority on one account, with its source.

  3. 03One cell

Every cell opens the bank's own record

    Sync agent

Helen filters to the accounts below two signers and clicks Mark Evans on OCB-2236, the Distribution payroll account at Osterly: signer, panel B, up to $2M; left the company; one active signer left, below the minimum of two. The source is Osterly's signatory confirmation of 1 Oct, with the line the agent read highlighted — and the same letter still lists Kevin Doyle, who left on 30 Jun.

“The highlighted passage is what the agent used.”

  4. 04Friday 17:45 to 18:31

Every authority found the evening he left

    Watch agent

HR sent the leaver event at 17:45 on Friday. By 18:05 the watch agent had found 14 signing authorities at 4 banks and 2 bank portal users, each with its source: First Harbor's and Halvard's eBAM account reports, Osterly's signatory confirmation, Vantmoor's mandate and the portal user export. Tomás Rivera suspended both portal users at 18:31.

Watch agent: “I asked Tomás Rivera to suspend the portal users; I do not suspend anything myself.”

  5. 05Two signers kept

    Replacements the resolutions already allow

    Planner

Without Mark Evans three accounts would have one active signer. The planner proposes Grace Adeyemi on the Osterly payroll account under BR-2026-031 §3.2 and Schedule A, and Priya Raman, the interim Group Controller, on the Vantmoor account under UK minute UK-2026-014, which names “the Group Controller for the time being”. Each proposal can be edited or rejected.

Asked whether Grace could sign at Vantmoor instead: “Not without a new UK minute. UK-2026-014 names offices, the Finance Director and the Group Controller; the Assistant Treasurer is not one.”

  6. 06Friday 18:40 · Monday 08:05

No resolution covered Germany, so one was drafted

Resolution agent and Amara Osei · Entity Secretary

The German cash pool header, HVB-7701, holds €18.6M, and Jonas Weber would be its only signer. No standing resolution let Priya Raman sign there, so the resolution agent drafted BR-DE-2026-07 in German with an English translation and sent it to Amara Osei. Both managing directors, Jonas Weber and Lukas Brandt, signed it at 08:05 on Monday.

The clause, translated: “Priya Raman, Interim Group Controller, is appointed signatory (group B, up to EUR 5,000,000) on account HVB-7701.”

  7. 07Four banks, four channels

Each bank's request in its own channel, checked by an agent that drafted nothing

    Change agent and control checker

The change agent drafted four requests: eBAM mandate maintenance (acmt.017) to First Harbor for 5 accounts and to Halvard for 2, Osterly's signatory maintenance form and letter for 3, and Vantmoor's mandate amendment form with the certified minute for 4. The control checker re-tested each one: two active signers remain, the resolution covers it, limits fit the role, no one approves their own authority, current signers sign, the bank accepts the channel, no KYC block.

“7 of 7 passed · it did not draft this request and cannot approve it.”

  8. 0808:46

She picks the reason and signs all four

    Helen Cho · Group Treasurer

One dialog lists the four requests. Helen keeps the reason LEAVER, adds a note if the bank or the auditor should know something, and confirms she has reviewed the sources and the checks. Approving signs the eBAM messages and letters; until then nothing goes to a bank.

“Signed under treasury policy TP-03. The decision, the reason and the sources are kept on the audit trail.”

  9. 09Minutes later

    Followed to each bank's confirmation

    Change agent

First Harbor acknowledges by eBAM (acmt.010) and its confirmation is expected in tomorrow's report. The Osterly and Vantmoor letters go to the relationship managers, with a follow-up on Mon 19 Oct if not confirmed. Halvard's message waits for its acknowledgement. The same clock already caught Osterly, which never confirmed Kevin Doyle's removal of 2 Jul: a reminder is drafted for Helen's approval.

“Signed by Helen Cho at 08:46 with reason LEAVER. One business day after the leaving date.”

  10. 10Same morning

A bank KYC review answered from the entity records

    KYC agent

Vantmoor's periodic review of both UK entities is due Fri 30 Oct, and the bank may restrict their six accounts if it is late. Nine of 11 answers are ready, each cited, with how sure the agent is. The control checker refused Sophie Hartley's expired passport copy and the newer copy of 3 Sep 2026 is used. Two answers need people: Priya Raman's certified passport copy, and Sophie Hartley's view of 2027 volumes.

“The agent will not state an expectation for the next year without a person.”

7 agents. Each with one job, and hard limits.

Seven agents keep every mandate current, catch leavers the day they go, draft each bank's request and answer bank KYC; the treasurer signs.

Sync agent

Reads each bank's mandate, signatory confirmation, eBAM account report and portal user export every morning, reconciles them with treasury's register and explains every difference. Its weekly pass finds dormant accounts and idle cash.

  • Never changes the register without a person
  • Reports a stale source rather than guessing
Watch agent

Reads HR events — leavers, role changes, appointments — and finds every authority each person holds: mandates, portal entitlements and resolutions.

  • Never suspends or removes anything itself
  • Asks a person to suspend portal users
Planner

Keeps every account at two active signers by proposing replacements the resolutions already allow, with limits that fit the role.

  • Never proposes an approver for their own authority
  • Never invents a limit outside the resolution
Resolution agent

Finds the board resolution and clause behind each change; where none covers it, drafts one in the entity's language with a translation, for the entity secretary.

  • Drafts only — never certifies or files a resolution
Change agent

Writes each bank's request in that bank's channel — an ISO 20022 eBAM message or the bank's own form and letter — attaches the resolution, and follows it to the bank's acknowledgement and confirmation.

  • Never sends before a signature
  • Drafts a reminder when a bank has not confirmed after five business days
KYC agent

Answers bank KYC questions from the entity records and document vault, cites every answer, and asks the right person for what it cannot know.

  • Never sends a KYC pack
  • Never states expected volumes or intent without a person
Control checker

Re-tests every change against treasury policy before a person sees it: two active signers remain, the resolution covers it, limits fit the role, no one approves their own authority, current signers sign, the bank accepts the channel, no open KYC block.

  • Did not draft the change and cannot approve it
  • A failed check blocks approval and says why
Treasurer, with the entity secretary

Approves with a reason code; the CFO approves changes to the treasurer's own authority. The agents propose; a named person decides.

Ask in plain words

Ask the treasury agents, in plain words

Every screen has the agents beside it. Ask about any account, person, bank or request — or tell them what to do. Every answer cites its source.

What should I do first?

Mark Evans. Policy wants a leaver off every mandate within one business day, and that is today. The four requests are drafted and checked; it should take you about five minutes. Then Rafael Ortiz, due tomorrow.

Where are we most exposed?

Halvard's German cash pool, HVB-7701: €18.6M, and Jonas Weber is the only active signer once Mark Evans goes. Priya Raman is added in CHG-2614 under the resolution signed this morning.

Is any bank about to restrict an account?

Not if we finish Vantmoor's review by Fri 30 Oct: the bank says it may restrict both UK entities' accounts after that. 9 of 11 answers are ready; I asked Priya Raman for a certified passport copy and Sophie Hartley for 2027 volumes. I will remind them on Fri 16 Oct.

Why is Kevin Doyle still on Osterly?

Our removal went by courier on 2 Jul and Osterly received it on 6 Jul, but its confirmation of 1 Oct still lists him on OCB-3307. He cannot sign with us, but the bank would honour his signature. I drafted a reminder to the relationship manager: CHG-2609, for your approval.

Questions

What treasurers ask us.

How does it find every bank authority a leaver holds?

The watch agent reads the HR leaver or role-change event and searches every mandate, portal user list and resolution for the person. In the sample case it found 14 signing authorities at 4 banks and 2 portal users within 20 minutes of the HR event, each with its source, and asked an analyst to suspend the portal users.

Does it work with eBAM and with banks that still want paper forms?

Yes. The change agent writes each request in the channel that bank accepts: an ISO 20022 eBAM mandate maintenance message where it can, or the bank's own form and letter, with the certified minute or resolution attached. eBAM acknowledgements are read automatically; letters are followed up after five business days.

How does it keep two signers on every account?

Before any removal, the planner checks which accounts would fall below the minimum and proposes replacements the board resolutions already allow, with limits that fit the role. Where no resolution covers a change, the resolution agent drafts one in the entity's language for the entity secretary to have signed.

Can it answer bank KYC refresh requests?

Yes. The KYC agent answers each question from the entity register and document vault — certificates, directors, beneficial owners, financial statements, signatory lists — cites every answer and shows how sure it is. Expired documents are refused, and questions it cannot know, such as next year's expected volumes, go to a named person with reminders before the bank's deadline.

Do people stay in control of what goes to the bank?

Yes. Agents draft and check; they never approve, send to a bank, suspend a user or change the register. Every change is signed by a named person with a reason code, no one approves their own authority, and an independent checker that drafted nothing must pass every request first.

What does internal audit get?

An audit trail that cannot be edited and an evidence pack on request: leavers and movers with the HR event, request, signature and bank confirmation; the signatory list by bank; every approval with its reason code; the checker's results; and the resolutions relied on. Reports also list signature authority over accounts outside the US for the FBAR review.

How long does it take to go live?

The Agentic Solution Engine builds and deploys it from your requirements and documents — your treasury policy, bank mandates, resolutions and a sample of past leaver events — and it goes live once every quality gate has passed. We will walk you through it on your own accounts first.
