What is Cash Positioning?

Cash Positioning is cash positioning software that builds the morning global cash position from bank statements, with exceptions flagged. Eight agents read every prior-day and intraday statement, add today's known flows, catch missing, stale and unmatched balances, and propose the day's sweeps, placements and intercompany loans. The cash manager approves each move and Payments Operations releases it.

The problem

Why the morning position is finished just before the cut-offs

Every morning treasury has to know, before the first payment cut-off, how much cash every entity holds in every bank account, what will move in and out today, which accounts will end short and where the surplus should go. Today that means logging into 6 to 12 bank portals or a SWIFT inbox, downloading BAI2, MT940 and camt.053 files, tying each opening to last night's closing, typing payment runs, payroll, tax and debt service into a spreadsheet by entity, and only then deciding on sweeps and placements — while the cut-offs come closer.

The risk sits in what nobody had time to look at. A missing or resent statement is read as no change. A debit to a supplier account changed by email is noticed days later, when a recall is much harder. A supplier run is rejected because the account was short. And surplus sits overnight in an earnings-credit account at 0.40% instead of a government money market fund at 3.92%.

One case, step by step

One morning, from the first statement to a signed position

Thursday 15 October at Kestrel & Vane Group: 15 entities, 42 accounts at 9 banks in 6 currencies, and a Treasury Centre in the Netherlands running a euro pool. Ravi Menon, the cash manager, opens the solution at 07:40. Here is his morning, screen by screen, in the working solution.

  1. 0107:40

The position is already built, and the agents say what needs him

    Ravi Menon · Cash Manager

“Good morning, Ravi.” Cash in banks closes today at $158.4M ($153.4M available, $5.0M in escrow); two accounts would close short, K&V GmbH and K&V Asia; $18.0M of surplus is waiting to be placed; 41 of 42 statements are in. His morning is four steps, and the agents have each left him a note with its source and a button to act on it.

Balance checker, 06:58: “One debit has no matching payment: SEK 6,450,000 from K&V Nordic to an account added by email on 12 Oct. I have drafted a recall; Payments Operations should decide this morning.”

  2. 0206:30 – 07:38

Eight agents worked while treasury slept

    The agents

“See how the agents built it” shows each agent's plan, what it read and how sure it is. The statement reader picked up 38 files from 9 banks in BAI2, MT940 and camt.053, read 41 opening balances and tied 40 of them to yesterday's closing; Vantmoor ..2214 opened £200,000 lower, and the balance checker explained why. Aurelia Banca ..8803 was missing at 06:30, so it used the 22:10 intraday balance as a provisional opening and asked the bank to resend by 09:00. Kaiyo ..5501 had sent the same file three days running: marked stale, ticket BNK-3317.

The statement reader never invents a balance; a provisional opening is labelled everywhere it appears.

  3. 03The ladder

Every account against its target, with the agents' plan beside it

    Ravi Menon · Cash Manager

The position ladder groups the accounts by currency, each with its opening, today's flows in and out, the closing and a bar against its target and buffer. Eight need attention: K&V GmbH short €2.30M, K&V Asia short S$1.50M, the US concentration account $19.24M over target, a provisional Italian opening, a UK opening gap, a Swedish exception and two accounts on a stale Japanese feed. On the right, three proposed moves, 0 of 3 decided.

“The agents’ plan is on the right; nothing moves until a person approves it.”

  4. 04One click

Why Germany is short, flow by flow

    Sweep planner

K&V GmbH opens at €1.60M on its camt.053 from Rheinfeld Bank, tied to yesterday's closing. In comes €0.22M from Brenner Logistik, confirmed, and €0.20M from Vossberg Anlagen, promised by remittance advice at 64% confidence. Out goes supplier run PR-DE-1015 — €3.80M to 212 suppliers, release 10:30 — and €0.02M of loan interest. It closes at −€1.80M, €2.30M under its €0.50M target.

Sweep planner: “The plan moves €2.50M from the pool header (M1). The German collections account (€0.85M) sweeps at 16:00, after the 10:30 release, so it cannot help.”

  5. 05Why this?

The options it compared, and the checks before Ravi saw them

    Sweep planner

M1 moves €2.50M from the euro pool header: free, instant, and the header stays €5.20M over target. The Rheinfeld overdraft is out — no line is arranged, so the bank would reject the run. Holding the run to tomorrow pays 212 suppliers a day late and needs the Treasurer and procurement. Before Ravi saw it, the plan checker confirmed policy TP-03 (pool first), his authority, the 10:15 CET cut-off, and re-added the source account after the move.

Confidence 97% · proposed by the sweep planner, checked by the plan checker, with every source one click away.

  6. 0607:41

He asks a what-if in plain words

    Ravi Menon · Cash Manager

“What if the German run moves to tomorrow?” The sweep planner answers in two minutes, with the payment run cited: K&V GmbH would close at €2.00M and the transfer would not be needed, but 212 suppliers would be paid a day late against terms. Moving pool cash costs nothing, so it keeps the transfer. He could also say “Make the Germany transfer €2.3M”, and the plan checker would re-test the change before it came back for approval.

Sweep planner: “Moving pool cash costs nothing, so I keep the transfer.”

  7. 07Approve and sign

A reason code, his signature, and a second person to release

    Ravi Menon · Cash Manager

Ravi approves M1 with AP-1, “Approve as proposed — the agent’s amount, route and timing”, or AP-2 to add a note to the record. The screen tells him what his signature means and who comes next. At 07:50 Tomasz Wójcik, Payments Operations, gives the second approval and releases the €2.50M.

“Signing as Ravi Menon, Cash Manager. Payments Operations gives the second approval and releases it.”

  8. 08The odd debit

    A Swedish debit nobody instructed

    Balance checker

K&V Nordic ..6602 was debited SEK 6,450,000 (≈ $613,000) to a new account at an unfamiliar bank. The balance checker searched the payment hub for SEK 6,450,000 ± 1% from 10 to 14 Oct: no instruction. No supplier run or approval matches, and the beneficiary was added to the supplier master on 12 Oct by a request that came by email, with no call-back verification. It drafted a recall request to Halvard Bank — and left the decision to Payments Operations.

Suggested: “Escalate to Payments Operations now and ask Halvard Bank to recall the payment. Do not count the amount as recoverable in the position.”

  9. 09Surplus

$18.0M placed the same day, with every limit shown

    Investment agent

The US concentration account is $19.24M over target; $1.24M funds the Singapore loan, so $18.0M is free. Euro pool cash earmarked for Germany and a €2.80M dividend on 19 Oct, and £2.10M for UK VAT on 7 Nov, stay out. Of four places compared, Larchmont Government Money Market Fund wins at 3.92% with same-day liquidity; leaving it idle at the 0.40% earnings credit forgoes about $1,740 a day. Policy IP-2026: 5 of 5 checks pass.

“Dark: held today · light: after this purchase. Re-computed on its own by the plan checker.”

  10. 10Sign-off

The position is signed only when it is ready

    Ravi Menon · Cash Manager

Approvals lists what is still waiting for Ravi — M2, the Singapore loan he sends to the Group Treasurer, and the two balance exceptions — and what was decided today. The sign-off checklist stays red while the SEK debit and two moves are undecided and one account is still short. Once they are settled he signs SG-1, “Position as shown”, or SG-2 with open items noted, and the report writer sends the cited morning report to Anneke de Vries and Caroline Ashby.

“Sign and send the report — settle the red items first.” After the plan: no account short, $18.0M invested the same day, nothing borrowed from banks.

Why is Germany short?

K&V GmbH opens at €1.60M and pays supplier run PR-DE-1015 of €3.80M at 10:30. With €0.42M coming in, it closes at −€1.80M: €2.30M under its €0.50M target (policy TP-03 §2.2). I proposed €2.50M from the euro pool header: free, instant, and it keeps the €0.20M buffer, which also covers the Vossberg receipt that is promised but not yet seen.

Is the $18M within policy?

Yes. The $18.0M goes to the Larchmont Government fund, rated AAA, 3.92%. After it our holding is $40.0M of the $50.0M fund limit and 37% of invested cash against the 40% cap; it is 0.28% of the fund (cap 5%), and money available within a day is 82% (floor 60%). $18.0M is inside your $25M daily authority; Payments Operations gives the second approval.

Which statements are missing?

41 of 42 prior-day statements are in. Aurelia Banca ..8803 is missing: I used last night's 22:10 intraday balance of €1.74M as a provisional opening and asked the bank to resend by 09:00. Kaiyo Trust ..5501 is stale: the same file three days running; ticket BNK-3317 is open.

Why not invest the UK surplus?

The GBP header holds £9.60M, £2.60M over target. I am not moving it: the header earns 3.75%, close to fund yields, and £2.10M of it pays UK VAT on 7 Nov. Placing it would save little and add a payment to make later.

Questions

What treasurers ask us.

How does it build the daily cash position?

The statement reader picks up the files from every bank, reads BAI2, MT940/942 and camt.052/053, and ties each opening to yesterday's closing. The flows agent adds payment runs, payroll, tax, debt service and netting from their systems. The ladder then shows every account's closing against its target and buffer, by currency, with the agents' plan beside it.

What happens when a bank statement is missing or stale?

The position does not wait. A missing statement is replaced by the last intraday balance, labelled provisional, and the bank is asked to resend; a re-run swaps in the final file when it lands. A feed that sends the same statement three days running is marked stale, ticketed and left out of the plan.

Does it catch unauthorised or unmatched debits?

The balance checker matches every debit above $50,000 equivalent to an approved instruction. One with no instruction behind it is held as an exception with the agent's steps and sources — in the demo, a SEK 6,450,000 debit to an account changed by email — and handed to Payments Operations with a recall drafted. The agent never sends the recall itself.

Can it invest surplus cash within our investment policy?

The investment agent finds the surplus left after earmarks for tax, dividends and loans, compares where it can go, and tests every limit of your policy — fund limit, share of invested cash, share of the fund, money available within a day and the approver's authority. It proposes; the cash manager approves, or the Treasurer above $25M.

Do people stay in control of the money?

Yes. The agents propose and never approve, release, draw on a facility or send a recall. Two people sign every move: the approver with a reason code and Payments Operations, who releases — and the approver can never release. The position is signed by the cash manager before the report goes out.

Can we set our own targets, limits and sweep rules?

Yes. Targets and buffers per account, the funding order, approval limits, standing sweep rules, deadlines and notifications are all settings. Changes are made with a reason, take effect in tomorrow's position and go to the Group Treasurer where policy requires.

How long does it take to go live?

The Agentic Solution Engine builds and deploys it from your requirements and documents — your bank account register, treasury policies and a sample of past statements and payment runs — and it goes live once every quality gate has passed. In the demo company's setup, the agents ran in parallel with the spreadsheet for two weeks and matched it to the cent on 10 of 10 days.
