What is Loyalty Partner Billing Reconciliation?

Loyalty partner billing reconciliation ties what each partner of a frequent flyer program bills for the miles it buys to the miles actually credited to members, at the rate in the partner's agreement, and settles the differences. Loyalty Partner Billing Reconciliation does it with seven agents that tie every statement line to a member credit overnight, explain each break with its file line and clause, check each other, and draft the dispute and the member credits for loyalty finance to approve.

The problem

Why loyalty partner billing is still checked on samples

Loyalty partner billing is how a frequent flyer program gets paid for the miles sold to partners: banks, hotels, car rental firms, other airlines and retailers send daily accrual files and a monthly statement of what they owe. Loyalty finance has to tie each statement to the miles actually credited to members, at the rate in the partner's agreement and its amendments, and chase every difference. Today that happens in spreadsheets in the first two weeks of the month, on property totals and the top lines.

The money leaks in the lines nobody had time to open. A resend file re-posts the same stays under a new folio and the partner pays once. A promotional rate keeps being billed after an amendment ended it. A property that left the program still earns. Records rejected for a bad member number sit in a queue nobody owns while the member calls. Partner cash runs to billions of dollars a year at a large network carrier, so even a tenth of a percent is millions, and every miscount also lands in frequent flyer deferred revenue.

One hotel partner's statement, from $612,400 billed to $635,150 owed

Corvane Airways runs the Corvane Horizon program and bills 24 partners by monthly statement: $84,099,052.00 for August on 6,534,250,500 miles. It is Tuesday, September 15, and the August close is due Friday. Here is the morning, screen by screen, in the working solution.

  1. 016:12 am

The agents worked overnight; the morning starts with what needs her

Nora Castellano · Loyalty Finance Analyst

Seven agents read 718 daily files and 23 statements and tied every statement line to the miles credited to members: 22 of 24 statements tied out, 3,537,864 lines. Fifteen partners tie out clean. Nora's list is ranked by value: Halvorsen's dispute, 198 Halvorsen members owed miles, Meridian Trust Bank's reply, and a partner where two agents disagree.

The agents: “The most valuable thing today is Halvorsen's August statement: $22,750.00 more is owed than they billed. Want me to open it?”

  2. 02One click

The statement opens as a ladder, one rung per break

Nora Castellano · Loyalty Finance Analyst

Halvorsen Hotels & Resorts billed $612,400.00 for 48,210 stays at $12.50 per 1,000 miles. At the bottom: Corvane should bill $635,150.00 from 49,139 member credits. Between them, 47,998 stays matched one to one, 1,104 stays credited twice (+$14,020.00), 3,880 Signature stays billed at the July rate (+$8,730.00, $14.00 per 1,000 from August 1 under Amendment 2) and 37 Lisbon Baixa stays still open.

Each rung says what happened, how sure the agents are and opens the file line, the member record and the clause.

  3. 0342 seconds

She watches the agents tie it out, step by step

    The agents

The file reader reads 32 daily files and the statement, and flags one file marked RESEND. The credit matcher ties every line to a member credit, the duplicate finder pairs 1,104 of the 1,141 extra credits, and the terms and rate checker prices every line by the dated rate card. The verifier re-derives every break from the raw files on its own and agrees on 1,104, 3,880, 212 and 37.

“Nothing was posted, reversed or sent. Two decisions wait for people: the dispute (Nora) and Lisbon (Jordan).”

  4. 04Credited twice

Both records of the same stay, side by side

    Duplicate finder

Dana Mercer stayed two nights at Halvorsen Chicago Loop from August 11 and earned 1,050 miles. Folio F-CHILO-884213 was credited from the August 14 file, then again as F-CHILO-884213-R from the full resend, 27 minutes later. The duplicate check keyed on the folio only, so the suffix passed it, and miles from records Halvorsen transmits are billable under §6.3.

Fix at the source: the duplicate finder proposes a rule that, run on the last 12 months, would have stopped 1,516 double-credited stays and no genuine ones. A person approves it.

  5. 0562% sure

Unsure about Lisbon, the agent asks instead of guessing

    Terms and rate checker

Halvorsen wrote that Lisbon Baixa left on June 30, yet 37 stays came in August with the Halvorsen property code, which suggests a franchise still in place. Nora asks “Is Lisbon billable?” in the conversation beside the ladder. The agent needs 99% to decide on its own, so it has asked Jordan Okafor and holds the $470.00 out of the dispute until he answers.

“I am 62% sure … I need 99% to decide on my own, so I asked Jordan.”

  6. 069:20 am

She approves the dispute, with a reason code

Nora Castellano · Loyalty Finance Analyst

The short-payment notice is $22,750.00: 1,104 stays credited twice ($14,020.00) and 3,880 Signature stays at the old rate ($8,730.00). It is under her $25,000 limit, so she can approve it alone. She picks the reason code “Billable per agreement §6.3 and Amendment 2” and confirms she has reviewed the cited lines and the verifier's re-derivation.

Approve, edit or reject: every choice takes a reason code and is signed with her name and role.

  7. 07Ready to send

The letter and the evidence pack, every line cited

    Dispute and credit drafter

The notice to Ines Varga, Halvorsen's loyalty billing lead, sets out both breaks with the clauses behind them and asks for a further $22,750.00, with a reply within 30 days under §9.2. The evidence pack holds the line-by-line tie-out of 48,210 lines, the 1,104 record pairs, the Signature stays priced by Amendment 2, the clauses and the verifier's report. Jordan Okafor sends it; the agents never do.

Where it stands: drafted 6:12 am · approved by Nora with her reason code · Jordan Okafor sends · Halvorsen replies within 30 days, by October 15.

  8. 08The same morning

Members get their miles without waiting for the partner

    Credit matcher

From August 3 to 21 Halvorsen's front desk cut member numbers to 9 digits and the records were rejected. 198 match exactly one member on the first 9 digits, surname and stay email: 201,320 miles, ready to approve. Fourteen with two candidates go back to Halvorsen. Sorrel Air's 1,206 codeshare credits, 1,844,700 miles, are above 500,000 miles, so they wait for Marcus.

The member message: “Your stay at Halvorsen Chicago Loop on August 11 earned 1,050 Corvane Horizon miles … We have added them today. Sorry for the wait — no action is needed from you.”

  9. 09Two agents disagree

On Marlow, the disagreement is shown, not hidden

    Verifier

Marlow Bank Rewards billed $5,570,100.00 for 61,066 points transfers. The credit matcher counts 214 transfers credited in August but missing from the statement, $9,855.00. The verifier finds 211, $9,717.30: Marlow reversed three of them on September 1. Only agreed breaks reach a dispute, so the working is Nora's to pick.

“Use 211 (recommended)” — the verifier cannot approve; a person decides.

  10. 10Friday

The August close, proposed by the agents and signed by Marcus

Marcus Lindqvist · Partner Accounting Manager

The close assistant accrues $194,564.00 for credits not yet billed: Aurelia Hotel Group, whose statement never came ($193,000.00), and Lumo Rides' missing August 31 file (about $1,564.00). It books $60,066.00 of receivables for disputes approved or sent, and splits revenue 61% air travel, deferred, and 39% marketing and brand, recognized. Nora marks it prepared; Marcus signs, and open items roll into September with their evidence.

“The close assistant never posts; Marcus signs.”

7 agents. Each with one job, and hard limits.

Seven agents tie every statement line to member credits, check each other and draft the dispute and the credits; loyalty finance approves.

File reader

Reads every daily accrual file and monthly statement as it lands, fixed width, CSV or PDF; checks the header, trailer and totals against the partner's file specification and each member number's check digit, puts rejects in the queue with a reason code and reports missing files by 9:00 am.

  • Never edits a partner file
  • Never posts miles
Credit matcher

Ties each statement line to one member credit by member number and stay or flight key, and matches rejected records to the one member they belong to.

  • Never credits or reverses miles
  • Guesses nothing below 99% sure: a record with two candidates goes back to the partner
Duplicate finder

Finds stays, flights and transactions credited twice from resends, corrections and suffixed folios, and proposes the matching rule that stops them, tested on 12 months of files.

  • Never reverses a credit
  • Proposes rules; a person approves them
Terms and rate checker

Reads each partner agreement and amendment into a dated rate card with clause citations and prices every line by the rate in force on its date, so an expired promotional rate is caught.

  • Never changes terms; new terms need the Partner Accounting Manager
  • Asks a named person below 99% sure
Verifier

Re-derives every break from the raw files on its own, without the other agents' working, and shows any disagreement.

  • Cannot approve
  • Independent of the checkers; only agreed breaks reach a dispute
Dispute and credit drafter

Drafts the short-payment notice, the evidence pack, the member credit batch and the member message; reads the partner's reply and drafts the answer.

Why does Halvorsen owe $22,750 more for August?

Two breaks, both verified by a second agent. 1,104 stays were credited twice when Halvorsen re-sent its August 14 file with “-R” on every folio; miles from records they transmit are billable: $14,020.00. 3,880 Signature stays kept the $12.50 promotion, but Amendment 2 sets $14.00 from August 1: $8,730.00.

Is Lisbon billable?

I am 62% sure. Halvorsen wrote that Lisbon Baixa left on June 30, but it sent 37 stays in August with the Halvorsen property code, which suggests a franchise still in place. I need 99% to decide on my own, so I asked Jordan; the $470.00 is held out of the dispute until he answers.

Who is waiting for miles?

1,418 credits are owed: 212 Halvorsen stays (198 matched, 14 back to Halvorsen) and 1,206 Sorrel Air flights from an unmapped codeshare. Both batches are drafted with the member message.

What is still missing for the close?

Aurelia's statement is missing (due September 10) and so is Lumo's August 31 file. The close assistant accrues $194,564.00 for both from member credits. Marcus signs by Friday.

Questions

What loyalty finance teams ask about frequent flyer partner billing.

How do you reconcile partner accrual files with the miles billed?

Partner accrual reconciliation starts with the files. The file reader reads every daily accrual file and the monthly statement, and the credit matcher ties each statement line to one member credit by member number and stay or flight key. The duplicate finder pairs credits that were posted twice, and the terms and rate checker prices every line by the rate in force on its date. The result is a ladder from the partner's total to the amount it should be billed, one cited rung per break.

Does it catch stays credited twice and rates billed after an amendment?

Yes. In the working solution the duplicate finder found 1,104 hotel stays credited twice from a resend file whose folios carried an “-R” suffix, and the terms and rate checker found 3,880 stays billed at a promotional $12.50 per 1,000 miles after an amendment set $14.00. For a recurring break the agents propose the rule that stops it, tested on 12 months of files, for a person to approve.

How do members get their missing miles?

Records rejected for a bad member number are matched to the one member they belong to and drafted as a credit batch with a short member message, the same day they are found. A person approves every posting, and a record with two possible members goes back to the partner instead of being guessed. In August the median wait was 2 days.

What happens when a partner disputes a short payment?

The dispute and credit drafter reads the partner's reply line by line, shows where the partner is right and what is still owed under the agreement, and drafts the answer. A person decides, partner relations sends, and a write-off above $10,000 needs the Partner Accounting Manager. Each dispute keeps its 30-day reply clock and is escalated when it ends. That is how loyalty partner settlement runs in the demo: Meridian Trust Bank, a co-brand card partner, accepted $28,800.00 of a $41,216.00 notice; the agents showed it was right on $3,456.00 for accounts closed in late July and drafted the answer for the remaining $8,960.00.

How does it handle the month-end accrual and frequent flyer deferred revenue?

The close assistant proposes the accrual for miles credited but not yet billed, the receivable for disputes approved or sent, and the entry with the revenue split from the program's study: in the demo, 61% air travel deferred and 39% marketing and brand recognized, the split ASC 606 asks for when miles are sold with marketing elements. It never posts; the Partner Accounting Manager signs the close.

Do people stay in control of partner billing decisions?

Yes. The agents never post or reverse miles, send to a partner, post to the ledger or change terms, and they ask a named person when they are less than 99% sure. Loyalty finance approves, edits or rejects every dispute and credit batch with a reason code, and the limits route larger items to the Partner Accounting Manager. Every action is on an audit trail no one can edit.

How long does it take to go live?

The Agentic Solution Engine builds and deploys it from your requirements and documents: your partner agreements and file specifications, your member system and ledger account map, and a past month of partner files and statements. After setup the agents tie out last month as a dry run, so loyalty finance can compare with its own spreadsheet before anything is sent. It goes live once every quality gate has passed.
