Why every ESG questionnaire feels like starting from scratch

Rating providers, customers’ procurement teams and investors all ask the same things — Board oversight, Scope 1 and 2 emissions, science-based targets, water, packaging, supplier code of conduct, speak-up channels — in their own wording, their own spreadsheet and their own length limits. The ESG reporting lead answers each one again, hunting through the sustainability report, the GHG inventory, policies and last year’s answers.

The risk sits in the reuse. A past answer still carries the preliminary emissions figure from before the restatement. A 2024 answer still says “carbon neutral” after the offset programme ended. A policy is attached a month past its review date. And every section still has to go to the EHS director, the procurement lead or HR for approval — by email, with the deadline already close.

It is October 7 at Northwind Bio. Brightwater Hospitals wants its supplier sustainability questionnaire back by October 17, and a new RFI from Meridian Group Purchasing arrived yesterday. Here is what happens, screen by screen, in the working solution.

    Question B.5 asks whether operations are carbon neutral. The draft reused a 2024 answer to Ostara Pharmacy Group that said yes. The checker flags it: the offset programme ended on January 1, 2026, and the climate transition plan says the company does not describe its operations or products as carbon neutral. It proposes wording from the approved claim library instead.

    Two choices: “Use the suggested wording” or “Keep the claim and ask Legal” — which sends it to Grace Liu.

Where do we still use the old 61,400 emissions figure?

Three places: Brightwater B.1 (the draft reused the March answer), Clearwater DP-02 (the rater still holds 61,400) and the Halden Health answer submitted on March 20. The assured value is 58,920 tCO2e, restated after the sale of Plant 6. I flagged all three and marked them on the facts register; Halden gets a correction note from Sam Patel.

Block “carbon neutral” wording in every answer

Done. New rule: any answer saying “carbon neutral”, “climate neutral” or “offset” needs current evidence and Legal’s second approval, since the offset programme ended on January 1, 2026. The Ostara 2024 answers are marked “do not reuse”. The rule is live in Settings and in the audit trail.

Which figures are assured?

Scope 1 (21,480 tCO2e) and Scope 2 market-based (37,440 tCO2e) for 2025 have limited assurance from an independent provider; together 58,920 tCO2e. Other figures in the facts register are reported in the 2025 Sustainability Report but not separately assured.

Is our human rights policy current?

Not quite. The Human Rights Policy was approved in September 2023 and is reviewed every three years — the review was due last month. It is cited in 3 open answers (Brightwater E.3, Terrasol, Larkspur). The modern slavery statement is current, Board-approved in June 2026.

Will it catch a wrong emissions figure?

Yes. Every number in a draft is compared with the facts register, which holds one approved value per key figure with its source and assurance status. A different figure is flagged with both sources side by side, and the assured value is recommended.

How does it handle greenwashing risk?

Words such as “carbon neutral”, “climate neutral”, “eco-friendly”, “green product” and “zero impact” need current evidence and a second approval from Legal. The checker flags them and proposes wording from the approved claim library, and you can add your own words.

What happens when the library cannot answer a question?

The question is marked as a gap and routed to the owner by topic, with a message naming the document or figure needed and a needed-by date. When the owner uploads it, the answer updates and goes back for approval.
