One morning of call notes, from the call to Compliance
Northwind Bio's field force sells Veltrimab, Corventa and Talmirex. It is Wednesday 7 October, 10:05, and Lena Ortiz, the field compliance lead, opens the reader. Here is what happens next, screen by screen, in the working solution.
- 01Overnight
Every note read, not a sample
The agentsBetween 02:00 and 02:41 the agents screened 1,284 of 1,284 call notes from the CRM, typed and spoken: 12 to Compliance and Spend, 14 to Medical Information, 22 for language review, 412 with field insights only and 824 clean. Each note shows what the agents found, its stage and the clock from the call.
“Typed and spoken notes from the CRM — every one screened by the agents, each finding tied to its sentence.”
- 0210:05
The note itself is the screen
Lena Ortiz · Field compliance leadCN-40817 is Sam Patel's 1:48 voice note from his call with Dr. Elena Ruiz in Denver, filed 17 h 45 m after the call. “Sponsor a dinner for her whole practice at Ember & Oak once she moves her next three new psoriasis patients onto Veltrimab” is highlighted red as a possible inducement, with all four facts a case needs — offered by, offered to, what of value, in return for. The escalation shows 4 h 15 m left to reach Compliance investigations.
“The clock starts at the call — Tue Oct 6 · 14:20 — not when the note was filed.”
- 03Same note
An unsolicited question goes to Medical Information
Off-label & Language CheckerDr. Ruiz asked whether she could start Veltrimab in a 15-year-old with severe plaque psoriasis. The label covers adults only, and §8.4 says safety and effectiveness under 18 have not been established. Sam declined and offered a written answer, and she agreed to email — so the request is drafted for Omar Haddad, answer due in 2 business days.
Rep's response: “Rep declined and referred — correct”.

A comparative claim, with the approved line
Off-label & Language CheckerSam told Dr. Ruiz that Veltrimab “clears skin faster than Zorelta”. There is no head-to-head study in the label or approved material, so the US Promotional Standards §4.2 rule applies. The finding offers the approved alternative from detail aid VLT-DA-118 and notes it is Sam's second language flag in 30 days. Coaching is suggested; it goes to his district manager, Priya Raman.
Approved alternative: “At Week 16, 74% of patients on Veltrimab achieved clear or almost clear skin, versus 6% on placebo.”

What the keyword list would have done
Lena Ortiz · Field compliance leadOne click compares the agents with the old keyword list on the same note. The list missed the dinner offered for three new patients, because no listed word is in the sentence, and flagged “pediatric” in the practice name, Aldervale Pediatric & Adult Dermatology. The agents caught the offer at 97% confidence and ignored the practice name.
“The agents read meaning against each label and policy, so they catch an offer made in plain words.”
- 0610:04 · a new voice note
Read as it is transcribed
Jordan Lee · Sales representativeJordan Lee files a 0:38 voice note from the CRM app after seeing Dr. Nia Robinson at Copperleaf Skin & Laser in Atlanta. Lena presses “Transcribe and read”. As the words appear, “bring lunch for her whole staff every Friday once she has five patients on Veltrimab” turns red, the compliance clock starts from the call at 09:15, and the route Call note → Compliance clock → Investigations appears with 4 of 4 facts. The same note highlights a question about doubling the dose, “works faster than anything else out there” and Zorelta's copay card.
Router & Clock Keeper: “Clock starts at the call · Wed Oct 7 · 09:15 · Compliance due Thu Oct 8 · 09:15 · 3 routes proposed.”

Sent to Compliance investigations, 23 hours early
Lena Ortiz · Field compliance leadLena sends the possible inducement to Compliance investigations. It is received as CI-26-0440 with the call date carried over, and the nightly reconciliation at 02:00 will confirm the case. The off-label question and the claim wait for her decision.
“Sent to Compliance investigations · CI-26-0440 · 23 h 9 m before the deadline.”
- 08Every route
One board, by destination
Router & Clock KeeperReferrals shows every route the agents proposed — Gifts & inducements, Medical information, Compliance review, and the reps asked for missing facts — with the clock from the call and the person who decides. Derek Owens's lunch on a personal card has 25 minutes left. Derek has been asked for the Bramble Kitchen receipt total, and Rachel Kim whether ten starter packs promised to clinic staff can come off her sample order.
“Every route the agents proposed, by destination — with the clock from the call and the person who decided.”
- 09In the CRM
The rep sees it before submitting
Sam Patel · Sales representativeSam dictates his call with Dr. Tessa Vaughn. The agents read along: his offer to cover her registration for the spring dermatology meeting in Maui is flagged as a gift that will go to Compliance, with a question about where the offer stands, and “works for everyone” is marked as an absolute claim with the approved line from the detail aid. Once he submits, the note is in Lena's compliance clocks 26 minutes after the call.
“Nudges on · nothing leaves the CRM until you submit.”
